Project 10. Acceptance Letters
- Goal
- The project´s goal is to review and improve the the standard acceptance letter and the abridged guidelines which are sent to new editors in the standard acceptance process.
- to make it easier for qualified newbies to learn the basics of editing
- to prevent information overload during the first days in ODP,
- to reduce the overlap and duplication of advice in standard letter and other new editor support letters (e.g. meta letters and welcome wagon letters) by clarifing the purposes of the standard documents.

- Responsibilities of Project Leader
- Lead the initial brainstorm and keep track of ideas.
- Lead the detailed review of the existing standard acceptance letters, and make sure that the results needed for further work (definition of the purposes of the various documents, and of the scope of modifications needed) are achieved.
- Help the team members to build tasks forces for specific documents. Facilitate, encourage and coordinate their work.
- Collect and record the final drafts.
- Lead the collecting of tips how other new editor support efforts (e.g. meta letters and welcome wagon letters) can build on the base provided by the standard letters.
- Responsibilities of Project Team Members
- Contribute to the initial brainstorm.
- Get an overview on existing acceptance letters. Identify problems in the existing documents and the way they´re used (this might include qualitative or quantitative surveying among newbies).
- Create a document that identifies the various documents used in the standard newbie acceptance process, defines their purpose and lists requirements each document has to fulfill.
- Determine the scope of the modifications needed in detail (what needs to stay, what is less important, what content is superfluous, redundant to eliminate, what needs to be added).
- Build task forces for the rewriting of specific documents and produce improved versions.
- Check the quality of the new drafts, e.g. by asking specialists (experienced mentors, catmods and metas) and/or by asking users (newbies).
- Present the final drafts to the whole team and community.
- Collect and write down tips how other new editor support efforts (e.g. meta letters and welcome wagon letters) can build on the base provided by the standard letters.
- Responsibilities of Project Sponsor
- Help with document upload.
- Measures of Success
- A document that identifies the various documents used in the standard newbie acceptance process, defines their purpose and lists requirements each document has to fulfill.
- The final drafts for documents which were identified as needing an overhaul, or which should be newly introduced.
- A list of tips how other new editor support efforts (e.g. meta letters and welcome wagon letters) can build on the base provided by the standard letters.
